Maximize organizational efficiency with data management solutions

data managementGood data is the cornerstone for good decisions, good processes and organizational efficiency. However, upon peeling back the layers of their databases, many organizations discover that they’re actually suffering from bad data hygiene It’s a company’s silent killer — great decisions turn out not so good, as the decision was based on sketchy information, while good processes could be better and organizational efficiency wanes unless the employees practice nearly super-heroic efforts to get the job done or put out fires.

Some companies are still kicking around redundant processes for no better reason other than “we’ve always done it this way.” With smart data management solutions, however, and a conversion to the “Single Point of Entry” religion, companies can benefit from a reduction in cost or waste, along with a more trustworthy base of information. Simple, Workable ‘Document Management’ Solutions

Lost papers

Don't lose another minute!

When people first hear about Franz Schubert’s “Unfinished Symphony,” they often assume he died before completing the last two movements. Not true, because he lived six more years and wrote the outstanding Symphony No. 9 in C. While there is no definitive reason why the composer’s Symphony No. 8 in B Minor was left unfinished, maybe he simply lost the papers for his now-famous work.

Almost 200 years after Schubert, we’re still losing papers. “Finding things is tough still,” notes Ray Boggs, vice president, small/medium business and home office research for analyst firm IDC. “Many workers lose about 10 percent of their day looking for paper. Smart Practices in Data Archiving

archiving

So why archive data at all? Wouldn’t it just be simpler to delete every e-mail message and file after a specified period of time? Wouldn’t that save a lot of time and money?  Or would it make more sense to just make a backup of all things?  There would be significantly less storage expense with this method, but it has never been successful. Practically speaking, there is no guarantee that an e-mail message has been deleted; another copy of every message exists on the receiving end, and messages can easily be copied, forwarded, or saved in a variety of locations. As long as deletion cannot be guaranteed, a policy of universal deletion could open the company to prosecution for ineffective enforcement. Read more

Data archives consist of older data that is still important and necessary for future reference, as well as data that must be retained for regulatory compliance. Data archives are indexed and have search capabilities so that files and parts of files can be easily located and retrieved. Read more
